Exhibitor Agreement & Event Description

Saturday, March 21, 2026 – 10:00 AM to 6:00 PM

This agreement is between Southern Communications Corporation and ____________________________ (Exhibitor).
Exhibitor Terms & Conditions
- Booth Space: Includes access to electricity (110v only for outdoor booths). Exhibitors using an outdoor booth must provide their own tent. Table skirts are available for $15 each, payable to the Beckley-Raleigh County Convention Center.
- Advertising: Southern Communications agrees to provide $24,000 in promotional advertising for the event. Advertising will air on the following radio stations:
- 103CIR
- Groovy 94.1 FM / 93.7FM
- WTNJ 105.9 FM
- WWNR News/Talk 620 & 101.1 FM
- WBKW 93.5 FM & 1070 AM
Promotion will also be featured across five station websites and social media platforms.
- Set-Up: Thursday, March 19, 2026 from 12:00 PM to 7:00 PM. All booths must be fully set up by 7:00 PM.
- Show Start: Presentations begin Friday at 9:45 AM. Show floor opens at 10:00 AM.
- Booth Attendance: Exhibitor must have a representative present during all show hours:
- Friday: 10:00 AM to 7:00 PM
- Saturday: 10:00 AM to 6:00 PM
- Tear Down: Begins Saturday after 6:00 PM. Early tear down is prohibited. Violators will not be allowed to reserve a booth in future years.
- Payment Terms: A 50% non-refundable deposit is due upon signing. The remaining 50% is due by March 12, 2027. Cancellations must be made by March 1, 2027 for any refund beyond the non-refundable deposit. No refunds will be issued for cancellations within two weeks of the event.
- Reservation Policy: No booth will be reserved without a signed agreement and 50% deposit. Booths may not be moved or modified without approval from the General Manager.
- Liability: Southern Communications and event sponsors are not responsible for any contents or materials in your booth. Regular tape may not be used to hang signs—only 3M tape is allowed. No signs may be hung in upper rooms using unauthorized materials.
- Vehicle Display Policy: Any auto or truck inside the venue must have a special permit from the West Virginia DMV. Apply at least two weeks prior. No more than 10 gallons of gas allowed per vehicle. All propane tanks must remain outside per Fire Marshal regulations.
- Food & Alcohol: No alcohol allowed. Food samples are limited to 2 oz. portions.
- Right to Refuse: Southern Communications reserves the right to refuse any applicant for any reason. Neither Southern Communications, Beckley-Raleigh County Convention Center, nor event sponsors are liable for fire, theft, vandalism, or personal injury incurred during the event.
